Registration Policy

By registering for the MRI Ascend users conference, you agree to the following policies and to be contacted by MRI Software partners who are present at the conference. Your contact details will be treated confidentially and will never be shared with any other third parties. If circumstances change and you are no longer able to attend MRI Ascend North America 2025, please email usersconference@mrisoftware.com.

Cancellation Policy

Registrations will be fully refunded if you notify MRI Software of your cancellation in writing on or before midnight EDT, Friday, September 19, 2025. No refunds will be given after September 19, 2025. Conference refunds approved by MRI Software will be issued within 14 days. All refunds will be issued back to the original payment form.

Notwithstanding the foregoing, for non-US residents, 100% refunds will be granted if international travel is prohibited between your home country and the US at the time of the event, provided you give written notice to UsersConference@mrisoftware.com with reasonable evidence of the travel prohibition.

Please remember that cancelling your conference registration does not automatically cancel your hotel and travel arrangements. Attendees are responsible for cancelling their own hotel and travel reservations. Please contact your hotel and airline in the event you must cancel your registration. MRI Software will not provide any substitutions, refunds, or credits for hotel and airline cancellations.

Substitution policy

Substitution of registrations may be made at any time up to the conference start date. Please send all substitution requests to UsersConference@mrisoftware.com, and make sure to include the original registration confirmation number, as well as full contact information for the substitute attendee. Please note that substituting a conference attendees does not automatically update your hotel and travel arrangements. Please contact your hotel and airline in the event of a substitution. MRI Software will not provide any substitutions, refunds, or credits for hotel and airline cancellations.

Conference cancellation or modification

MRI Software reserves the right to cancel, alter, or reschedule MRI Ascend for any reason, including because MRI Software determines in its sole discretion that the conference cannot be held as planned. For these reasons, registrants are advised against making non-refundable travel arrangements. Should you purchase non-refundable airline tickets or make non-refundable hotel reservations, you do so at your own risk.

Should MRI Software cancel all of the in-person portion of MRI Ascend for any reason, you can apply conference fees to an announced substitute event (future in-person conference date, virtual event, etc.).

Consent to the Use of Photographic Images

I hereby give consent to MRI Software LLC (MRI) and third parties authorized by MRI to use my image and likeness, including, but not limited to, my name, voice, appearance, performance, and identity as an event attendee, on any medium or record, including, but not limited to, photo, stills, video, audio, or electronic reproductions for MRI’s commercial or other purposes throughout the world.

I agree that all content subject to this consent shall be and shall remain the property of MRI. I understand and agree that this consent is perpetual. By attending this event and agreeing to the terms and conditions, I acknowledge my understanding of the terms and agreement to be bound by them.

Liability Waiver & Release

In consideration of being allowed to register for, and participate in, an event, activity, or experience (“Event”), I hereby waive, release from liability, assume all risks, and covenant not to sue MRI Software LLC (MRI) or their respective members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury (including loss of life, disability, or serious harm), property damage or theft, negligence, or actions (each, a “Loss”) resulting from or arising in connection with my travel to, attendance at, or participation in the Event and any related activities unless said Loss is caused by the sole, gross negligence of MRI, respectively.

I agree that this waiver and release shall bind me and my personal representatives, shall be enforceable to the fullest and broadest extent of the law, and, if any portion is held invalid, the remainder should continue in full legal force and effect.  I am an adult of sound mind and capable of entering into this waiver.  I have read its terms and fully understand and agree to the provisions herein. 

I agree that this wavier shall be governed by and construed in accordance with the laws of the State of Ohio and enforce only in courts in the State of Ohio.  After an opportunity to consult with an attorney of my own selection, I voluntarily consent to this waiver.

I understand and am aware that my participation in the Event involves risk, including, but not limited to, travel, physical activity, locales where public health and safety may be at risk, or activities that involve risk that I create for others or others may create for me.  These risks may lead to a Loss, and I nonetheless choose to participate in the Event.

Scope of Use and Rights Granted

By attending the Conference, you consent to the use of your image, likeness, voice, and/or statements as part of event-related media in any format, now known or later developed, worldwide and in perpetuity. You waive any right to inspect or approve the finished media or any accompanying text and release MRI from any claims arising out of or related to such use, including claims for invasion of privacy, defamation, or right of publicity.

Opt-Out and Accommodation

If you prefer not to be photographed or recorded, please notify an event staff member upon arrival and request a “No Photos” badge. We will make reasonable efforts to accommodate your preference, including directing photographers to avoid you and identifying designated “no photography” areas where feasible. If you are inadvertently photographed, please contact event staff so we can address your request.

Minors

Attendees under the age of 18 must be accompanied by a parent or legal guardian. By allowing a minor to attend, the parent or legal guardian consents to the minor’s inclusion in photography and media as described above. If you are a parent or guardian who does not consent, please identify yourself to event staff at registration so that we can provide a “No Photos” badge and offer reasonable accommodations.


Personal Devices and Third Parties

Attendees may also take photos or recordings for personal use. MRI is not responsible for media created by other attendees or third parties who may be present.


Trademarks and Third-Party Content

Logos, trademarks, and third-party content appearing in event media are used for identification purposes only and remain the property of their respective owners.

Weapons-Free Policy for MRI Ascend (the “Conference”)

MRI Ascend (the “Conference”) is a weapons-free event. For the safety and comfort of all attendees, speakers, sponsors, exhibitors, and staff, the possession, carrying, or use of any weapons—including firearms (whether openly carried or concealed), knives, explosives, or any other dangerous devices—is strictly prohibited on the Conference premises, including all event venues, exhibit halls, meeting rooms, and common areas.

By entering the Conference premises, you agree not to bring any weapon of any kind into the event. Individuals found in possession of a weapon will be denied entry or removed from the premises. Refusal to comply may result in trespass enforcement. This policy does not restrict lawful storage of firearms in a private vehicle as permitted by applicable law. On‑duty law enforcement officers acting within the scope of their official duties are exempt.

Conference management reserves the right to implement security screening and bag checks at any time and to determine, in its sole discretion, whether any item constitutes a weapon or threat to safety.
